APPOINTMENTS AND CANCELLATIONS:

Therapy requires an ongoing commitment and it can be challenging at times to make weekly sessions. It is an important part of the therapeutic process to be on time and make your scheduled appointments. The sections below detail my polices regarding cancellations, no-shows and fee collection.

Late Cancellations and No Shows

Cancellations that are communicated less than 24 business hours prior to the session date and time will be subject to a $100 cancellation fee. No-showing to an appointment will also incur the $100 fee.

 

Due to the nature of insurance billing, insurance clients that are more than 7 minutes late will be considered a no show and charged the late cancellation fee.


If your cancellation is due to a contagious illness or a critical emergency then we can discuss waiving the cancellation fee based on extenuating circumstances.


If you no-show for an appointment for two consecutive weeks, unless other arrangements have been made in advance, for legal and ethical reasons, I must consider the professional relationship discontinued and I will terminate services.

Standard Cancellations

There are an allowable 4 standard (24+ hours notice) cancellations per calendar year. After 4 standard cancelled
sessions, any cancellation will be charged the $100 cancellation fee. If I am able, I will offer open times within the
week to reschedule cancelled appointments to help manage the amount of cancellations per year. Reschedules are limited to no more than 3 in a 6 month period.

 

I have a limited number of hours I offer to clients and your session time is reserved exclusively for you. This policy
allows me to continue to provide the level of care I am committed to with all of my clients.

Fee Collection

Credit cards are required to be on file to ensure timely payment and will be used for cancellations and no-shows.

 

You are responsible for payment, which includes co-pays, at the time of service. You can pay with cash, check or
card. If paying by cash or check you are responsible for paying at the time of service. If payment is not received at
the time of service, the credit card on file will be charged the fee.

Third Party Responsibility

In the case that your insurance does not cover, or denies claims, you will be responsible to pay for the services that
were not covered. I will assist in helping dispute denials for service, so that you can try to get reimbursed by your
insurance.

Medi-Cal Clients

Please note that the fees described in this policy cannot be applied for clients with Medi-Cal (Cen-Cal) Insurance.
Thus, clients with Medi-Cal (CenCal) who miss more than 4 sessions annually will have their treatment evaluated
and a conversation regarding terminating treatment will begin.

 

Med-Cal (CenCal) Clients who are unsure if they can commit to weekly sessions should seek services with other
providers who may be a better fit.

Benefits of the Policy

For Me: These polices help reduce the time I have to commit to business and administration tasks. They allow me
to focus more of my time and effort on providing direct psychotherapy to my clients, which is where I believe I am
the best use to you.

For You: Life can get very busy and conflicts between attending our scheduled sessions and other commitments will
happen. I believe having more accountability to attend scheduled session helps prioritize the time you make for
yourself weekly to meet.

I have created these polices after thinking best how to manage the business and logistics side of the therapeutic relationship. I believe these policies allow me to offer the best help to you. I am always open to discussing these in more detail if you like.
